Participation Terms and Conditions Nederlandse Kerstpakkettenbeurs 2027
These terms and conditions for participation in the Dutch Christmas Hamper Fair 2027 are derived from the General Regulations, filed with the Chamber of Commerce and Industry in Eindhoven on 1 May 1996 under number 4274/96, which apply to all transactions concluded with us. A copy will be provided free of charge upon request.
The registration form for participation (including all annexes) must be received by FairExpo B.V. (hereinafter referred to as FairExpo) no later than 21 January 2027.
Acceptance of registrations is at the sole discretion of FairExpo, which reserves the right to refuse participation. The allocation of stand space and the positioning of stands is determined by FairExpo, which reserves the right to alter and/or adjust the hall layout up to 5 days before the first day of the fair. Exhibitors may never claim a specific stand and/or stand location. FairExpo does not make any binding commitments in this regard.
Exhibitors who have registered with a claim to a specific stand location and who fail to meet the payment terms will forfeit their right to that location.
The fair will take place on Tuesday, 2 February 2027 from 10:00 to 17:00 and Wednesday, 3 February 2027 from 10:00 to 16:00. Exhibitors are required to have their stand fully set up and ready for the fair no later than 09:30 on Tuesday, 2 February 2027.
Exhibitors constructing their own stands will build them on Monday, 1 February 2027. The time at which stand construction may begin will be communicated by means of an instruction letter no later than 4 weeks before the start of the fair.
Exhibitors constructing their own stands are required to submit a drawing of their stand to FairExpo two weeks before the fair, so that it can be assessed for compliance with the guidelines of the Fire Service and Building and Housing Supervision.
Dismantling of the fair takes place on Wednesday, 3 February 2027 after the fair has closed. The loading and unloading doors will be open from 16:30. The exhibition hall will remain open until 22:00.
Subletting of stand space is not permitted without prior consultation with and written approval from FairExpo. If two companies wish to present themselves jointly in a single stand, a minimum of 14 m² of stand space must be booked.
A registration cannot be unilaterally amended or withdrawn by a participant. If a participant wishes to cancel their registration, a written request sent by registered post must be submitted to FairExpo. FairExpo may grant a cancellation request on the condition that the participant concerned pays a cancellation fee. This fee amounts to 50% of the total rental amount including all facilities, once participation has been confirmed by FairExpo. In the event of cancellation after 1 January 2027, 100% of the total rental amount including all facilities will be due.
Invoicing
a. Upon registration, approval and confirmation by FairExpo, the 50% advance invoice will be issued after 1 September 2026.
b. The exhibitor will receive the 50% balance invoice at the beginning of January 2027.
c. Exhibitors registering after 1 December 2026 will receive a 100% invoice.
d. All invoices must be paid within 8 days of the invoice date.
Cancellation of participation within 72 hours before the opening of the first day of the fair will be treated as a "no show". In this case, a no-show fee of €2,000.00 excluding VAT will be due.
If a participant fails to pay the amounts owed within the specified deadlines, FairExpo is entitled to cancel the registration and/or withhold stand space, without prejudice to FairExpo's right to claim payment of those amounts. In such cases, participants may not claim a refund of any amounts already paid.
Each participant is liable for and must take out adequate insurance against all damage and/or theft, and indemnifies FairExpo against any claims that third parties may bring against FairExpo in connection with the participant's actions.
FairExpo reserves the right to issue instructions to fair participants and/or to take measures in the context of public health and fire prevention, or in response to measures and/or guidelines issued by the government. Participants must comply with these instructions and/or follow the measures taken by FairExpo. Instructions and measures issued by FairExpo in this context can never constitute grounds for dissolving the agreement or claiming compensation.
FairExpo has the irrevocable right, in the event of national mourning and/or in response to other directives, orders or prohibitions issued by the government, to change the date of the fair or cancel it entirely at its own discretion, without the exhibitor being entitled to terminate their contract or disregard their obligations towards FairExpo.
FairExpo reserves the right, in the interest of the fair, to change the date, venue or opening hours of the fair (as referred to in articles 4 and 5) at its own discretion, without the exhibitor being entitled to terminate their contract or disregard their obligations towards FairExpo.
FairExpo reserves the right, in the interest of the fair, to transfer the organisational rights of the fair to another legal entity at its own discretion, without the exhibitor being entitled to terminate their contract or disregard their obligations towards FairExpo.
By registering for the Dutch Christmas Hamper Fair 2027, participants confirm that they have read and agree to these terms and conditions of participation. In all cases where these terms and conditions differ from FairExpo's General Regulations, these terms and conditions shall prevail.
In all matters not covered by or deemed unclear under these terms and conditions of participation, FairExpo shall have the final say.
